What's The Point?

Mobile Check-In simplifies the process of checking in and paying for a round of golf, freeing up pro shop staff to focus on other duties. It integrates fully with your point-of-sale software and payment processor to charge for the round of golf, collect information on those checking in, and update your tee sheet accordingly.

For The User That Booked The Tee Time

  1. Open the app.
  2. On the home screen, tap either the card at the top (available for users that have logged in already) or Check In Now button below.

  3. If you haven't already, enter your login information and make sure to tap Stay logged in.

  4. Once within the portal, tap Check In below the applicable tee time.

  5. On the ensuing page, select any players you'd like to check-in for, then tap Continue.

  6. The user is shown a summary of their upcoming payment. Tap Select Payment at the bottom to continue.

      1. All rates are based on tee sheet settings from Club Prophet. If they are displaying incorrectly, edit them in Club Prophet and they will update in the app automatically.
  7. Enter the proper payment information, then tap Use This Payment Method.

  8. Done! The user will be able to access the following:
    1. A message that you can designate with next steps (pick up cart keys in the pro shop, etc.)
    2. A confirmation that can be accessed through the app and shown to the starter.
    3. A confirmation email from your booking engine's system with the record of their transaction. (See Club Prophet Integration below for more information on this point.)


For The User That Didn't Book The Tee Time

  1. Have the user that booked the tee time open the app.
  2. Within Mobile Check-In, tap Share.

  3. Select the method you'd like to use to share the Reservation ID. These include:
    1. Messages
    2. Email
    3. Hangouts
    4. Facebook
    5. Slack
    6. Etc.


  4. Once the new user has received the message, follow step 1 and enter the Reservation ID in the top of the page, then tap Search.

    1. Once within the portal, tap Check In below the applicable tee time.
    2. On the ensuing page, select any players you'd like to check in for, then tap Continue.

    3. If the user has not signed in already, they are required to do so before submitting payment.
      1. This ensures their information is captured for the tee sheet and their profile.
    4. The user is shown a summary of their upcoming payment. Tap Select Payment at the bottom to continue.

        1. All rates are based on tee sheet settings from Club Prophet. If they are displaying incorrectly, edit them in Club Prophet and they will update in the app automatically.
    5. Enter the proper payment information, then tap Use This Payment Method.

    6. A final summary screen is displayed. Tap Pay Now to finalize payment.

    7. Done! The user will be able to access the following:
      1. A message that you can designate with next steps (pick up cart keys in the pro shop, etc.)
      2. A confirmation that can be accessed through the app and shown to the starter.
      3. A confirmation email from your booking engine's system with the record of their transaction. (See Club Prophet Integration below for more information on this point.

Club Prophet Integration

Setting Up Confirmation Emails For Completed Check-In's

  1. Open up your Club Prophet POS system.
  2. Set up an email in the email templates section of Club Prophet.
  3. Once completed, click Starter Hut in the bottom of the main screen.
  4. On the ensuing page, click Admin in the top-left.
  5. On the ensuing page, click Course Information on the left.
  6. Double-click the course name you'd like to edit.
  7. The next page will display a field titled Gallus Payment Confirmation on the right. Click the dropdown to select the email template you set up in step 2.
  8. DONE!

What point-of-sale partners are you currently integrated with?

We are currently integrated with Club Prophet Systems, with more integrations on the way.

Can I designate how long a user has before the tee time to check-in?

Yes. We are able to designate the number of days, hours, and even minutes in advance of a tee time that users of your app can check-in.

How can I communicate to users arriving to the course that they can check-in through the app?

There are several methodologies on promoting your new mobile check-in feature, but here are a few of the most used:
  1. Set up a Welcome Geofence with the Action as Go To App Page --> Check In.
  2. Add a link to download your app on your booking confirmation emails (which can be done through your booking engine provider).
    1. Need some promo materials? Click here to view the Promote page of your Gallus admin dashboard.
  3. Print out some posters to put in front of your facilitiy and in the pro shop.
  4. Add a separate Express Lane to your pro shop that is reserved for users that have checked into their app. This is a great way to issue out cart keys or encourage last-minute purchases!

How can I communicate next steps after a user has checked in?

We have the ability to display a short message at the end of the check-in process that contains whatever copy you'd like. Some examples:
  1. Thanks for checking in through our app! Please arrive at the first tee five minutes before your tee time.
  2. Thanks for checking in through our app! Please visit our pro shop to purchase a sleeve of golf balls, a hat, or a bucket of range balls.
  3. You're all checked in! Please proceed to the Express Line in our pro shop to pick up your cart keys.
