How Online Registration Works

Before You Begin

Make sure you have a general understanding of the Gallus Tournament Software by viewing our Tournament Software Basics article.

Enabling Online Registration

After an event is created, online registration will need to be enabled on the main tournament checklist page. Here are the steps:
  1. In the Gallus Admin Dashboard, navigate to the Tournaments page.
  2. Select the tournament you'd like to enable online registration for.
  3. On the tournament checklist page, click Get Started right above all of the steps, then Enable:

      1. NOTE: Clicking Request Demo will notify the Gallus Support team that you'd like to schedule a call to go over the online registration with one of our Customer Success Representatives.
  4. The next page will open and ask for several pieces of information:
    1. Online Registration: Click this to On to enable online registration.

    5. Send 48 Hour Reminder: Will send a reminder email to the registered participant 2 days prior to the event.
    6. Max Players: The maximum field you'd like the tournament to have.
    7. Min Registrants Per Team: (Only for team scoring events)

      2. Require phone number: Useful when participant needs to be contacted before, during, or after the event.
    10. Tournament Fee: How much the tournament will cost.
    11. Online Payment: Detailed below- must use Stripe as payment processor.

  5. After this information is complete, click Save at the bottom of the page.

Online Registration Checklist Page

After completing the previous steps, a checklist page like the below will appear (with the same red/yellow/green color coding as the main tournament checklist page). Let's touch on each of the sections:

Settings

Clicking on this section will bring you back to the online registration settings. (See previous section Enabling Online Registration for more info.)

NOTE: Clicking Manage on this pane takes you to the same place as the pencil at the top-right of the Registration pane (on the left side of the page).

Bank Account

This section only appears if you have required payment or made it optional (does not appear when payment is not allowed).
  1. Click Manage on the step.
  2. On the ensuing page, click Connect with Stripe.
  3. This will take you to Stripe's website. Fill out the information as necessary to create an account with them directly.

    1. TIP: Every tournament can have a different Stripe account connected to it, which is ideal for outside tournaments. Have the tournament organizer create an account of their own and let them control their bank deposits!
  4. Click Authorize to finish the setup process.

Design

This section allows you to control the look of your online registration page.
  1. Click Manage on the step.
  2. A page like the below will open. Let's go through the steps:

  3. Registration Header: Upload either a JPEG or PNG file to control the header at the top of the page.

  4. Coordinator Name: Provide a name of the contact for tournament registration.
    1. This is optional.
  5. Coordinator Phone: Provide the best number to reach the coordinator at.
    1. This is optional.

    2. Video
    3. Photos
    4. HTML
    5. iFrames (for forms, sites, etc.)
  8. Registration Instructions: Any additional information participants need to know in order to register (age requirements, etc.)

Payments

This section only appears if you have required payment or made it optional (does not appear when payment is not allowed).
  1. Click Manage on the step.
  2. The next page will allow you to see all payments, edit them, and even Add Manual Payment at the top-left of the screen.

Players

This section will allow you to see all players that have registered for the event thus far.
  1. Click Manage on the step.
  2. The system will take you to the same Players page as the main tournament checklist page does. You will be able to see every player, which ones paid through the online registration (denoted by a $ next to their name), and add any additional players.
