Bulk Customer Tab Capabilities
Directly from the Customer's Tab on Memberships you can 'filter' to send messages, apply one off rewards, bulk update specific information, void or unvoid memberships and export.
Bulk Importing Members
You can now add brand-new customers to your customer list and assign them a membership all in a single step from the Membership Customers tab. Previously, you had to import them as Customers first, then import them into their respective Membership.
Requirements for Your file
Before uploading your .xlsx spreasheet, make sure it meets these rules:
Contact Info: Every person must have an Email address
Name: You must either include a Full Name column or separate First Name and Last Name columns.
File Size: You can upload up to 5,000 rows at a time
IF you are including a Member Number, it will use the external_id column and assign it as a Customer's Membership: External Id
Column Name Overrides: Remember you can override column names to match whatever best suits your output from your original system just make sure that you have those column override names in place otherwise the system will reject them
Matching Custom Spreadsheet Column Names
If your spreadsheet uses column headers that don't match our default names (for example, using "Email Address" instead of "Email"), you can set up Column Name Overrides.
How it works: Override rules tell the system to recognize your customized spreadsheet headers and automatically map them to the correct fields in Customer Dashboard
Important: Set up your column name overrides in the system before uploading your file. If your column headers don't match and no override rule exists, the system will reject the import
Where to Set: Depending on the field, either in Settings > Customer Settings > Fields > edit or in Membership > Fields > edit
How to Import
Go to the Membership Customers tab and click the Import button
In the popup window, select or drag and drop your .xlsx file into the upload box
Turn on the toggle switch for "Create customers that don't exist" so the system automatically creates new customers for anyone not already created
(Optional) Toggle "Update existing membership customers" if you want to update info for current members, or "Add Rewards" to automatically apply download rewards.
Click the Import button and the system will update you on import status
The import history page now shows how many customers were created, separately from how many memberships added
Deleting A Subscription
You can only delete an existing Subscription or Membership if zero customers have purchased it. Once purchased or a member has been applied to a membership it cannot be deleted.
You will not be able to delete a price if it has subscribers tied to it.
You will not be able to remove a reward if it has been used and applied to members.
Please note that you can only void a customers membership if they've been added manually. If the customer paid through the app via subscription they can cancel their subscription or you may do so in STRIPE.
If you no longer want a subscription or membership to be available in the app toggle off visible in app. Please note, that customers who are already members will still continue to see the membership.
If the subscription or membership has past it's expiration date you can archive it so it's no longer visible on your Subscriptions list page.
Editing A Subscription
While you can edit a Subscription, if it's active, we encourage you to think about all your customers and and existing members who have reviewed the description and benefits. Any changes could affect your existing members.
On the ensuing page, click Memberships in the left side menu.
Click into the Membership you wish to edit.
Update the Info and click Save.
Should you wish to Edit a Price you will not be able to change the amount. You will need to create a new price with the desired amount and archive or set an end date for the previous price.
Should you wish to Edit a Reward you could make adjustments to that reward but please know that it won't apply backwards.
