How Subscriptions Works

What Is Subscriptions?

Subscriptions is a collection of "subscriptions" or "memberships" that are only available within a Gallus Golf app and available for purchase to customers who have created an app account. As an admin, you have the ability to create as many subscriptions or memberships as you'd like with whatever content you deem necessary and rewards. 

User Experience

Step-By-Step

Customers wishing to access Subscriptions can follow these steps: 
  1. Open the app. 
  2. On the Home Screen, tap Subscriptions (or whatever you have chosen to title it)

  3. They will see a list of Subscriptions available 

  4. They will be able to click Join Now from the Subscriptions list screen, if they are not logged in they will be prompted to log in or create an account. If they are logged in they will move to the order summary screen. 


  5. They will be able to click Learn More to get into each Subscription and read the benefits

  6. They will be able to click Purchase on the Subscriptions benefits screen; if they are not logged in they will be prompted to log in or create an account. If they are logged in they will move to the order summary screen. 


  7. Now ready to purchase the customer will need to confirm which price, if multiple options are available

  8. They will need to input their credit card details

  9. Upon successful purchase they will see a confirmation screen

  10. They can email themselves a receipt.

    1. You are able to set up recurring emails from Stripe to your subscription customers (if they are paying a recurring charge)
  11. DONE! From here, they can view their subscriptions Card, which they can always access through their profile

  12. They can view their Rewards (Subscription Rewards and general Rewards will all show here).

  13. They can view their benefits and cancel if needed (for recurring only); this only cancels payment. The membership will run through the end of the period.

Setting Up A New Subscription or Membership

  1. From the Quick Start Page in your admin dashboard, click Subscriptions

  2. A new tab will open up and on the ensuing page, click Memberships

  3. On the ensuing page, click Create and a popup will appear to create your first Subscription or Membership

      1. Membership Name
        1. Name will be used to define Customers (i.e. 10 Prepaid Round Package, Players Pass, Range Club, etc.)
      2. Max quantity
        1. Maximum number of customers who can purchase this membership. Default is unlimited. 
      3. Image 
        1. Provide an Image to highlight the Membership or Subscription - 2:3 ratio (1620x1080) images smaller than 5MB.
      4. Preview Text
        1. Provide a brief summary of the benefits to entice customers to either click to learn more or join.  This description will appear on your Subscription List screen.
        2. TIP: Use the buttons above this box to add bold or italics to grab the customers attention! 
      5. Description
        1. This is what will appear on the Subscription Details Screen and provide your customers all the important details.
        2. TIP: Use the buttons above this box to add bold, italics, bulleted lists and more. 
    1. Legal
      1. This is what will appear on the Subscription Details Screen providing your customers with legal about the subscription. 
      2. TIP: Can be created here or in the Description box using italics if you want a bigger font size. 
      1. Visible in app
        1. Controls if the subscription can appear in the app.  
        2. TIP: If you're not ready to launch the membership keep this toggled off, just remember to toggle it on when ready to launch! 
  1. Click Save to create your Subscription or Membership. 

Add Prices

  1. Once saved you now need to add Pricing

  1. On the Pricing tab, click Add Price

  2. On the ensuing popup, Create your price

      1. Type
        1. Recurring or One-time. 
        2. One-time allows you to set the amount.
        3. Recurring allows you to set the amount and how often will the customer be charged (ex. $25 every (1) month, $75 every 3 months, $450 every (1) year).
      2. Currency
        1. Allows you to set the currency for payment (US Dollars or Canadian Dollars). 
      3. Amount
        1. Allows you to set the amount the customer will be paying (one-time or recurring).
      1. SKU
        1. Allows you to tie a SKU number to your POS, if using SKUs to track subscription purchase price. 
      1. Expiration (Only for One-Time)
        1. Allows you to set when the Subscription Expires - Never, Time period (after 1 month, 4 months, 1 year, etc) or Specific Date
      1. Availability
        1. Allows you to set when customers will be able to purchase the Subscription and turn it off if you desire. 
        2. Don't input any date values and the price will be available immediately if the Subscription is visible in the app. 
  1. Hit Save

    1. You can have multiple prices (ex. Allow customers the option to either pay a one-time fee or go month to month) should it make sense for your offering. 

Add Rewards

Rewards need to be created first in order to apply them to a Subscription. Please visit How Rewards Work.
  1. On the Rewards Tab, click Add Reward
  2. On the ensuing popup, Apply your reward

      1. Reward
      1. Allows you to select the Reward that you'd like to apply to this Subscription or Membership
      1. Quantity
      1. Allows you to decide the quantity you wish to apply to this Reward
      1. When to add
      1. Allows you to decide when or the frequency in which the subscribers will have this reward added to their account. 
        1. One-time: The reward is added only once. 
        2. Daily: This reward is applied to your subscribers every X days. 
        3. Weekly: This reward is applied either on purchase every X weeks or on a specific day of the week.
        4. Monthly: This reward is applied either on purchase every X months or on a specific day of the month. 
        5. Quarterly: This reward is applied either on purchase every X quarters or on a specific day of the quarter. 
        6. Yearly: This reward is applied either on purchase every X years or on a specific day of the year. 
      1. Settings
      1. Requires an Active Membership - Enabled: Customers must have an active membership to redeem the reward. Disabled: Customers can redeem the reward even without an active membership.
      2. Persist Reward - Enabled: The reward remains available until the customer redeems it, potentially allowing multiple instances of the same reward to accumulate over time. Disabled: Each new reward replaces the previous one; only the latest reward is available, and any unused previous rewards expire. (Not available for One-time Rewards)
      3. Lifetime limit per customer - If you set a limit, customers won't get the reward more than that number of times. If it's left blank, there's no limit. For instance, if you offer a embroidered hat for signing up, setting the limit to 1 means they'll only get it once. Even if they cancel and sign up again, they won't get another embroidered hat because the limit is 1.
  1. Hit Save

  1. You can have multiple rewards and you can decide how often and when your subscribers should get them. 

Deleting A Subscription 

You can only delete an existing Subscription or Membership if zero customers have purchased it. Once purchased it cannot be deleted. 
  1. You will not be able to delete a price if it has subscribers tied to it. 
  2. You will not be able to remove a reward if it has been used and applied to members.  
  3. Please note that you can only void a customers membership if they've been added manually. If the customer paid through the app via subscription they can cancel their subscription or you may do so in STRIPE
  4. If you no longer want a subscription or membership to be available in the app toggle off visible in app. Please note, that customers who are already members will still continue to see the membership. 
  5. If the subscription or membership has past it's expiration date you can archive it so it's no longer visible on your Subscriptions list page. 

Editing A Subscription 

While you can edit a Subscription, if it's active, we encourage you to think about all your customers and and existing members who have reviewed the description and benefits.  Any changes could affect your existing members. 
  1. From the Quick Start Page in your admin dashboard, click Subscriptions
  2. On the ensuing page, click Memberships in the let side menu. 
  3. Click into the Membership you wish to edit. Update the info and click Save.
  4. Should you wish to Edit a Price you will not be able to change the amount. You will need to create a new price with the desired amount. 
  5. Should you wish to Edit a Reward you could make adjustments but please know that it won't apply backwards.

Subscription Analytics

High-Level Subscription Analytics

To view the overall Subscriptions analytics, completed the following steps:
  1. From the Quick Start Page in your admin dashboard, click Subscriptions.
  2. High-level metrics appear on the Dashboard page. 

    1. Customers - Number of customers who have created an account within the app (this includes customers who do not have a subscription or no longer have an active subscription). Click on the analytics card to learn more about that specific metric. 
    2. Rewards - Number of rewards given and number of rewards redeemed. Click on the analytics card to learn more about that specific metric. Click into the rewards to get more specific metrics. 
    3. Memberships - Annual revenue your memberships have generated along with the number of active members. Click on the analytics card to learn more about that specific metric. Click into the membership to get more specific metrics. 
    4. Payments - Revenue of payments received and number of active subscriptions that  Click on the analytics card to learn more about that specific metric. View all the payments and subscriptions. 

Subscription Specific Analytics

To view analytics for a specific membership, complete the following steps:
  1. From the Quick Start Page in your admin dashboard, click Subscriptions
  2. On the ensuing page, each membership will appear in a list:
