How Customer Profile Picture Works

What is Customer Profile Picture? 

This article shows you how to add a profile picture for your customers. Profile pictures can help you quickly identify customers and are applied to any membership cards they have active. You can manage this picture field in Customer Fields

Quick Summary

  1. Picture field is a build in field and cannot be deleted. 
  2. You can control the field and how it can be added, edited, and seen. 
  3. Pictures appear on the membership card automatically if a customer has an image tied to their profile. 
AlertApp version must be 20.02 or higher in order for this capability to work.  

How to Access Picture Field 

  1. From the Quick Start Page in your admin dashboard, click Customer Dashboard.

  2. A new tab will open up. On the next page, click Settings.

  3. Click Customer Settings

  4. You'll see two tabs: Fields and Barcode
  5. Make sure you're on the Fields tab (it's the default)
  6. Scroll all the way to the bottom of the page and you'll see the Picture section
    1. You can make these changes to the picture field 
      1. Edit the section title 
      2. Rename the field 
      3. Move the section up 
      4. Move the field to another section

Note: Even if you move the picture field or change the name, it will always appear at the top of the Create Account screen and Profile screen in your app.

Tip: The picture field is turned off by default. You'll need to enable it through Settings first before customers or managers can use it. 

Manage Picture Field Settings


    1. Click Use Advanced Settings to control exactly when and where the picture field appears. 

      1. How customers see the field in the app:
        1. Creating an Account:
          1. Is the field Visible? (Can the customer see it?)
          2. Is the field Required? (Must they fill it out?)
        2. Editing Customer Profile: 
          1. Is the field Visible? (Can they see it?)
          2. Is the field Editable? (Can they change it?)
          3. Is the field Required? (Must they fill it out?)
      2. How you see the field in the manager:
        1. When Creating a Customer:
          1. Is the field Visible? (Can you see it?)
          2. Is the field Required? (Must you fill it out?)
        2. When Editing a Customer:
          1. Is the field Visible? (Can you see it?)
          2. Is the field Editable? (Can you change it?)
          3. Is the field Required? (Must you fill it out?)
    2. Click Save to update the picture field. 
    3. This field will also appear on your Customer's Page. It's an option that you can now filter on!

Pro Tip: If you want customers to add their own pictures, make the field visible and required when they create their account and allow them to edit the image on profile. 

User Experience

Picture Fields in Manager with Customers

  1. Navigate to Customers. 
  2. Click on any customer's name. 
  3. You'll see the picture field (if you made it visible for Manager) and moved the section up to the top; if not scroll down to view. 
    1. You drag and drop a photo to upload or click to select it. 
  4. Click Save to update the Customer record. 

Bulk Update Customers with Picture Field in Manager

  1. Navigate to Customers
  2. Click the IMPORT Button
  3. A popup modal will appear

    1. Click Download Template Button
    2. Open the template file and fill in the customer information

Important For Pictures: To add pictures through import, you must:
  1. Have the image hosted online somewhere
  2. Use the full URL to the image 
  3. Example: https://s3.amazonaws.com/data.gallusgolf.com/files/2/f0f93aedc7bc45879fd7e82623e1574c.png
  4. Chose whether to update existing customers or only add new ones
  5. Click Import
  6. The system will tell you if it worked or if there were any errors. 

Picture Field in App, Create Account

  1. Open the App
  2. Click on Create Account (App Onboarding, via Profile, via Rewards, via Membership Purchase)
  3. If you made the picture field visible, they'll see it on the account creation screen
  4. They can upload a picture; they must upload a picture if you made it required

  1. Open the App
  2. Click on Profile Icon 
  3. Click on the Gear Icon
  4. They'll see their profile picture if you made it visible
  5. They can change it if you made it editable
    1. Example where the picture is not editable 

Picture Field in App, Membership Card

  1. Open the App
  2. Click on Membership Icon
  3. Their profile picture automatically appears on their membership card
  4. This happens for all customers who have a picture uploaded
