How Gifting Works

What is Gifting?

Give the gift of [fill in the blank]! The gift feature allows your customers to purchase memberships or subscriptions which they can gift to friends, family or colleagues. Receivers of the gifted membership or subscription can easily redeem the gift in the app to activate their membership! 

Before You Begin

Settings 

  1. From the Quick Start Page in your admin dashboard, click Customer Dashboard

  1. In the new tab that opens, click Settings in the side menu

  2. Click Organization

  3. Scroll to the bottom to add your facilities Support Email Address and Support Phone Number

Important: Fill in at least one contact method. This ensures customers can reach you if issues arise with their gifted purchases or redemption.
  1. Click Save!
  2. Click on Settings in the side menu
  3. Click Brand Settings
  4. Customize your email branding:
    1. Update your Primary Color (using a Hex Value, recommend using the primary color you used in App Studio) and
    2. Header Image (recommend using a dark colored logo unless you plan to have a light colored logo on a dark background) 
  5. Click Save! 
  6. These settings will appear in the gift purchase email

Setting Up a Gift for Membership 

  1. Click on Memberships in the side menu
  2. Click into the Membership you'd like to set up Gifting
  3. On the specific membership page, click on Gifts
  4. On this tab, you can enable or disable gift code redemptions, as well as add Gift Prices 
    1. Settings
      1. Enable (toggled on) - Customers can redeem gift codes on this membership
      2. Disabled (toggled off) - Customers can not redeem gift codes on this membership
      3. Save to apply a change
    2. Add Gift Prices
      1. Click on Add Gift Price and a modal will popup 
        1. Set your gift amount
          1. If it's a one-time purchase ($300) membership you should create the same gift price ($300) 
          2. If it's a yearly or monthly subscriptions you can create multiple price points based on what you want to offer
            1. e.g., One month is $30, you could offer a One month gift for $30, two for $60, three for $90, etc. 
          3. Add a SKU if applicable
        2. Determine when the membership will expire after it is redeemed - Never, Time Period, Date
          1. E.g., if it's a yearly membership set it to 1 year, if it's a subscription membership decide the number of months, if it's calendar year and ends on a specific date set that 
        3. Set your availability for when this gift price is available for purchase
          1. You can manually toggle this on/off or set a start date and end date to allow it to happen automatically 
    3. Click Save!
  5. The Gift page will update to reflect the new prices available

  6. If a charity requests the ability to gift a membership you have the option to generate codes (under Gifts)
  7. Click generate codes and fill in the necessary information
    1. Group Name (recommend this is the name of the charity or organization so you can easily know who you're giving the gift codes to)
    2. For the duration, determine when the membership will expire after it is redeemed - Never, Time Period, Date
      1. E.g., if it's a yearly membership set it to 1 year, if it's a subscription membership decide the number of months, if it's calendar year and ends on a specific date set that 
    3. Hit Save and your codes will generate automatically 

    4. Export to a spreadsheet for easy sending to the Charity or Organization! 
  8. Once Gifts purchases happen, they will show up under the Gifts

  9. You can monitor which gifts have been redeemed by membership
  10. You can further click into a Gift for additional details or if you should void the gift code before redemption. 
  11. If you need to void a large number you can click the checkbox and bulk void or unvoid (please note voiding a gift code doesn't refund the purchase)
  12. If you want to see all gift purchases, click on Payments in side menu; Gift Purchases tab
  13. Customers with gifted memberships will show an icon

User Experience

How to Purchase a Gift

  1. Customers must be logged in to purchase a gift; if not logged in they will be prompted to sign in or create an account
  2. Customers can gift from the Membership List screen or from a specific Membership page: 
  3. From the Membership List screen and they tap gift/redeem button, they will see all available gift memberships
  4. From a specific Membership screen and they tap gift button, they will only see that membership's gift option 
  5. Next they will provide their payment for purchase 
  6. After tapping Pay Now, they will see a confirmation page with instructions on how to share the gift
  7. An email is also sent, which can be forwarded to whoever should receive the gift 
  8. Gift details are also accessible in their profile under the Gift Icon; they can use the 'share code' button to send via Text or other chat type app (e.g., slack, teams, etc.) 

How to Redeem Gift

  1. Once the gift has been shared with the recipient they will need to redeem the gift in the app
  2. Recipients must create an account or log in to redeem
  3. They can navigate to the specific membership or membership list screen to start the redemption process
  4.  
  5. Tap redeem and follow the prompts to ender the gift code 
  6. Tap continue to confirm the membership and complete any questions needed to redeem the membership
  7. Tap redeem now and their code is now converted into their new membership or subscription
  8. They can access their digital membership card
  9. As well as any benefits / rewards tied to the membership or subscription 

Best Practices

Pricing Strategy

  1. Match full value: For most gift purchases, set the gift price equal to the regular membership price
  2. Promotional gifts: If offering discounted gift prices, clearly communicate the reduced benefits or duration
  3. Subscription gifts: Consider offering 3-month, 6-month, or 12-month gift options

Expiration Settings

  1. Annual memberships: Set expiration to 1 year from redemption date
  2. Calendar-year memberships: Use a specific date expiration (e.g., December 31)
  3. Subscription gifts: Set expiration based on the number of months gifted
  4. Promotional gifts: Use time-limited availability to create urgency

Communication

  1. Enable both email and phone support for gift-related questions
  2. Add your logo for the header so recipients can see who they are receiving an email from
  3. Consider seasonal availability (enable gifting during holidays, disable during off-season)

Frequently Asked Questions

Q: Can customers purchase a gift for themselves?
A: Technically yes, but the feature is designed for gifting to others. The purchaser buys the gift and shares the code with a recipient.

Q: What happens if a gift code isn't redeemed?
A: Unredeemed codes remain valid according to your expiration settings. You can monitor redemption status in the admin dashboard.

Q: Can gift codes be refunded?
A: This depends on your refund policy but you can refund the purchase as well as void gift codes. 

Q: Can I manually create gift codes?
A: Gift codes are automatically generated when customers complete purchases through the gifting flow.

Q: Can one gift code be redeemed multiple times?
A: No, gift codes are single-use and become invalid once redeemed.

Q: Do gift recipients need to enter payment information?
A: No, recipients only need to enter the gift code. Payment was handled by the purchaser.
