Tournament Software Basics

This article will outline the Gallus Tournament Software solution in its most basic form and will link out to sub-articles on the finer details.

User Experience

Before we dive into building a tournament in the Gallus Admin Dashboard, let's first get familiar with the user experience:

Joining A Tournament On Tournament Day

To join a tournament on tournament day, the user can perform the following:
  1. Open your app on their phone
  2. Click the tournament title at the top of the home screen

  3. Select their name from the roster of tournament participants

  4. Confirm that the information on the page is correct

  5. Click Confirm & Start
  6. From this point forward, their scoring process will be the same as in the Scorecard/GPS


Viewing The Live Tournament Leaderboard

After following the previous process, a user can click the Leaderboard button on the bottom-left of the Scorecard/GPS page to view the live tournament leaderboard.

Creating A New Tournament

Now that we have an understanding of what the goal is on tournament day, let's explore setting up a tournament in the Gallus Admin Dashboard.
  1. From the Quick Start page, click Tournaments
  2. Click Create Tournament
  3. Enter all of the framework of your event:
    1. Name: The name of the tournament
    2. Competitors and Team Game: What type of tournament and scoring style will this tournament be (Note that all of these can be gross scoring, net scoring, or both.)
      1. Teams
        1. Scramble
        2. Best Ball
        3. Alternate Shot
      2. Individuals
        1. Stroke
        2. Stableford (only a Standard Stableford format is currently supported)
          1. 6 points – Four strokes under 
          2. 5 points – Three strokes under 
          3. 4 points – Two strokes under 
          4. 3 points – One stroke under 
          5. 2 points – Level par
          6. 1 point – One stroke over 
          7. 0 points – Two strokes or more over
        3. Match Play
      3. Teams and Individuals
        1. Best Ball with either
          1. Stroke
          2. Standard Stableford
    3. Rounds: Enter the information for the day/time of your round(s)
      1. Date: Select a day
      2. Start Time: When will the event begin
      3. Course: Which course will be used for scoring
      4. Tee: Which tee box will the players be using?

        1. NOTE: Must select only one tee box per round. 
      5. Start Type:
        1. Shotgun
        2. Tee TIme
      6. Once finshed, click Add.
      7. Either continue adding rounds using the steps above (if you have more than one) or click I'm done adding rounds
    4. Logo: Upload a tournament logo
      1. Appears in print materials, leaderboards, etc.
      2. NOTE: Can be either JPEG or PNG format 
    5. Sponsor Logo: Upload a sponsor logo
      1. Appears in print materials, leaderboards, etc.
      2. NOTE: Can be either JPEG or PNG format 
    6. Rules: Any necessary rules for the event
      1. NOTE: Anything entered here will appear in the Player Handout- Click HERE to view our article on print materials.

  4. Click Continue
  5. A new page will open with multiple steps. They are color coded based on need:
    1. Red: Something is missing and the tournament will not appear in the app until information is added (i.e., there are no players entered)
    2. Yellow: No information is entered, but the tournament can still run (i.e., no flights have been set up)
    3. Green: The category has information entered and it will not prevent the tournament from running

  6. Now you are ready to get the information entered in (see the next section)

Methods Of Entry


There are three methods of entering players, groups, and (if necessary) teams into the Gallus Tournament Wizard:

1) Manual Entry


  1. For a team scoring event
    1. From the main tournament page (shown above), click Teams
    2. On the ensuing page, click Add Team

    3. Enter the team name (and handicap if necessary), then click Add
    4. Continue adding team names as needed, then click I'm done adding teams
    5. Scroll down and click Add Player on the team you'd like to create, then enter all necessary information
      1. NOTE: Entering GHIN number will pull their handicap from GHIN's database.
    6. Continue as needed

      1. TIP: Click and hold the arrows next to player names to drag/drop them to a different team.
    7. When finished, click the tournament name on the left side of the screen to bring you back to the main tournament checklist page.
    8. Click Groups
    9. On the ensuing page, choose between the following:

      1. Add Group to select groups manually 
      2. Auto Generate to identify parameters:
        1. Start type: Shotgun or Tee Time
        2. Teams per group: Number of teams to be present in each grouping
        3. Max groups per hole: Number of groups to start on a particular hole
        4. Starting positions: Choose how many groups should start from each hole (i.e., Only have one group start on a par 3, etc.)
        5. Grouping preference
          1. Team Name
          2. Handicap
          3. Score
          4. Random
        6. Order: Based on previous answer
        7. Click Generate

  2. For an individual scoring event
    1. From the main tournament checklist page (shown in previous section), click Players
    2. On the ensuing page, click Add Player in the top-left of the screen
    3. Enter all necessary player information, then click Add
    4. Continue as necessary
    5. When finished adding players, click the tournament name on the left side of the screen to bring you back to the main tournament checklist page.
    6. Click Groups
    7. On the ensuing page, choose between the following:

      1. Add Group to select groups manually 
      2. Auto Generate to identify parameters:

2) Spreadsheet Upload

  1. On the main tournament checklist page, click click here to import via spreadsheet template

  2. On the ensuing page, click Download Template to download an Excel spreadsheet directly to your computer.
  3. Open the file in Excel (or Google Sheets) and fill out the information in the same format as provided.
  4. Once finished and saved, go back to the spreadsheet upload page in the tournament software, click Choose File, and select it.
  5. Click Import

Leaderboards

Getting to the Leaderboards Editor

  1. From the Tournaments page, select the tournament you'd like to edit.
  2. Once on the tournament checklist page, select the step marked Leaderboards.
  3. The next page will look like the screenshot below.

Adding Leaderboards

  1. Click Add Leaderboard
  2. Select a scoring style and click Add

Removing Leaderboards

  1. Click the trash can icon to the right of the leaderboard you'd like to delete
  2. Click OK

Tiebreakers

  1. On the main tournament page, click the step marked Leaderboards.

  2. Click Edit on the leaderboard.

  3. To the left of the team name, change the place number.

  4. Click Save.

Viewing Leaderboards

At the bottom of the main tournament checklist page, scroll to the bottom. There will be a link to use to view the leaderboard:

Showing A Leaderboard On A TV

Here are some methods courses using our software have had success with:
  1. Use a Google Chromecast
  2. Internet-enabled tv
  3. TV/Projector connected to a computer via VGA or HDMI

Flights


Getting To The Flights Editor

  1. From the Tournaments page, select the tournament you'd like to edit
  2. Once on the tournament checklist page, select the step marked Flights

Adding A Flight

  1. Click Add Flight
  2. Enter Name of the flight
  3. Select either Gross or Net
  4. If you would like to manually add participants to the flight, uncheck the box and click Add, then skip to the next section
  5. If not, select Gender
  6. Flight Create Type
    1. Handicap: Choose a range of Handicaps to be included
    2. Score: Choose a range of scores to be included
  7. Click Add

Adding A Flight Manually

After following steps 1-4 above...
  1. Click the flight name towards the bottom of the page
  2. On the next page, click Add Team or Add Player (dependent on the tournament's scoring style)
  3. Begin typing in the team/individual you'd like to add. As long as they've been added to the tournament previously, they will appear as an autofill below. Click their name and then Add
  4. Continue as necessary

Adding a flight will automatically add a leaderboard in the Leaderboards section.
For more information on the print materials section, click HERE.
At the bottom of the main tournament checklist page (below the Leaderboards link from two sections back), you will find the Host Access Link for the specific tournament you're viewing. This link will allow anyone using it to edit only that specific event, giving them access to nothing else in your Gallus Admin Dashboard.

Duplicating A Tournament

Sometimes you'll have an event that comes on a consistent basis, or that you'd like to duplicate the format of. To do so, go to the bottom of the main tournament checklist page and click Copy Tournament:

Deleting A Tournament

To completely delete a tournament, scroll to the bottom of the main tournament checklist page and click Delete Tournament:
